Job Description

Processes all material purchasing from bid and budget documents prepared by estimating, assists estimating in the preparation of these spreadsheets as requested. Aggressively seeks the best buy by obtaining quotes, researching new vendors, maintaining vendor lists by product, evaluating quotes and selecting the best value/buy for the project. Tracks cost, quantity, availability, and delivery of material in accordance with established procedures. Manages material submittal process including original submittal request & review, substitution requests, issue resolution through approval and communication to the field. Carries out and enforces all purchasing policies and procedures as directed by the Project Manager and company management. Prepare Project Closeout Documents and verifies Project Closeout and Warranty Requirements.

Responsibilities

Irrigation /Landscape Material Orders:

  1. Receives material requisitions, locates, prices and orders materials as approved on purchasing material spread sheets.Must be able to use discretion on choosing materials and suppliers, as well as independently negotiating prices.
  2. Verifies that materials have been quoted and approved. Obtains quotes as requested.
  3. Seeks review from Project Manager on any over-budget or non-budgeted items.
  4. Checks to see if supplier is an existing account. If not, makes arrangements to have a credit application processed or to have check cut.
  5. Schedules material deliveries.
  6. Tracks deliveries, assists in tagging plant material and verifies availability.
  7. Provides reports to staff on the buyout status on a periodic basis, including percent complete and comparison to the budget.

Equipment Rental Orders:

  1. Orders equipment/barricades as needed by General Superintendents. Must be able to use discretion on choosing materials and suppliers, as well as independently negotiating prices. Schedules delivery and removals upon request from G.S.
  2. Posts rental dates and time of delivery.
  3. Tracks outstanding rentals on visible wall board.
  4. Subcontractor Orders (Saw cut, Boring, Striping, etc.)
  5. Check budget for job and check the job file for the quote. Assists estimating with quotes or obtains multiple quotes when no quote exists.
  6. Verify budget and quote with Project Manager.
  7. Obtain submittals for approval.

Landscape Amendments (Mulch, Fertilizer, etc.)

  1. Check with Project Manager on approved material and quote since the quantity needed is usually revised for this material. Use independent discretion to negotiate material purchases within budget, or if over, as close to budget as possible.
  2. From material requisition, order and schedule delivery of material accordingly.
  3. Maintain daily cumulative totals on all sand and gravel deliveries. Communicate totals to the field as needed. Provides quantity over-run control.
  4. Provides accountability for missing receivers, dispatching, deliveries and other details affecting the material procurement process.

General Duties:

  1. Matches purchase orders to the receivers.
  2. Maintain dispatch notes on a daily basis throughout the day to include scheduling, problems with deliveries, communications made by date, time and person contacted.
  3. Assist Estimating in price quotes and locating specified materials.
  4. Perform additional assigned duties as needed.
  5. Implement quality control measures to maintain control material quality.
  6. Maintain job cost by checking phasing accuracy.
  7. Tracks long lead items reporting delivery dates weekly by written report.
  8. Tracks all backorder items and reports status to the field by written report.
  9. Handles disputes resolution with vendors and/or customers with the assistance of PM and VPC.
  10. Responsible for assisting and advising Project Managers with ongoing administration of our contracts with Clients and for ensuring adherence to established contract and procedure and requirements.
