Job Description

Our client, legal services company located in midtown east, is seeking a Temporary to Permanent Office Coordinator. This role requires the person to be in office 5 days a week with the working hours being from 9am-6pm with OT as needed. The role pays up to $29/hr and will begin ASAP.

JOB DESCRIPTION

  • Assist the Office Managing Partner (OMP), Office Administrative Partner (OAP), and Office Administrator (OA) in drafting and disseminating information to the New York office regarding events, initiatives, office closings, and other announcements
  • Work to support office initiatives and implement specific initiatives to achieve strategic goals.
  • Support office-wide initiatives, particularly around D&I, responsible business, community investment, and Responsible Business activities.
  • Maintain office event calendar on internal website and office electronic bulletin board
  • Plan and schedule a variety of leadership, partner and associate meetings, office-wide town halls, and office events; including preparation of meeting materials, arrangements for such meetings (technology, meeting rooms, catering requests, etc.) and recording and circulating meeting minutes, including various committee meetings, recurring office meetings including coordinating special functions and social events for the office.
  • Support tracking of business metrics, collecting and reporting on data and drafting communications
  • Assist the OA with Responsible Business by attending meetings and taking minutes on responsible business activities
  • Arrange for payment of vendor invoices

QUALIFICATIONS

REQUIRED SKILLS

  • Excellent oral and written communications skills required.
  • Excellent analytical and sound decision-making skills required.
  • Experience managing people and teams preferred.
  • Excellent interpersonal skills, professional presentation, and the ability to provide excellent client service to all internal and external personnel, clients, and vendors
  • Identifies and responds to issues/problems in a timely manner and seeks feedback/follow-up as appropriate.
  • Ability to work in a fast-paced environment: prioritizing and juggling multiple tasks, solving problems, and demonstrating resourcefulness
  • Ability to work both independently, with minimal supervision, and with other business services teams across the firm
  • Strong organizational skills and ability to prioritize required.
  • Ability to work independently and extended hours as necessary.
  • Customer service skills and a positive demeanor.

EDUCATION, CERTIFICATIONS, AND/OR EXPERIENCE

  • 3 - 5+ years of professional experience as an office coordinator or an equivalent position in a law firm or other professional services environment preferred.
  • College degree preferred.
